This agreement is between European Nazarene College (EuNC) and the Board of Trustees member.
You have been elected to the Board of Trustees of European Nazarene College. In order to fulfill our mission and carry out our ministry, we process a lot of data. We want to be good stewards of this data and handle it carefully. For this reason, we provide this information on handling data.
Confidentiality of BoT members
EuNC is thankful for the commitment of a great number of people who participate in its educational network. EuNC emphasizes being a community of gratitude, and we commit to express our appreciation to you. We do not want to take your commitment for granted, and the general administration will support you in any way possible, which includes regularly praying for you.
The Board of Trustees member has or may have access to or may receive data and information about EuNC, students, faculty and constituent. The information may only be used for EuNC Board of Trustees work and may not be shared with third parties. Keep all information confidential and limit your access to records to those areas required for your work.
Based on your task you are obligated to maintain confidentiality of personal data which you gain access or gain knowledge in the course of your work according to § 5 no. 1 f) and Art. 32 GDPR. All data processing must be in accordance with the General Data Protection Regulation .
Based on your task you are also obligated to maintain confidentiality of EuNC data which you gain access or gain knowledge in the course of your work.
Data protection and privacy information for BoT members
Since European Nazarene College is located within the European Union, this form has been designed in accordance with the principles of the General Data Protection Regulation of the European Union.
Communication: With your election EuNC will use personal data to communicate with you by various means relating to your duties on the Board of Trustees during your time of service.
Your membership in the Church of the Nazarene and your prior consent to serve as a BoT member or participation ex officio is understood as an equivalent to a contractual relationship in the legal sense. . On this basis, we process the following data: Name, email address, phone number, title, ministry. These data are used in particular for information and communication purposes. In addition, the data will be shared and published within the international structure of EuNC. The processing of the data therefore takes place in accordance with § 6 no. 1 b) and § 49 no.1 b) GDPR. After you leave your position, the data will be restricted and stored for archival purposes only.
Publication for EuNC PR work: In order to inform about the ministry of EuNC BoT members may be asked to submit articles, reports, testimonies. In addition to these PR contributions, the following data can be published: Given name, Family name, Email address, Country, Photos, Videos. Voice, Reports on activities related to EuNC, also stories and narratives.
The data may be used for all or any of the following purposes:

- Storage on the EuNC Servers (within the EU) *

The active publication of the data is limited to 5 years. By this period, the data will be deleted from the above-mentioned online platforms. For historical purposes/research, the data may be stored within EuNC’s archives for an indefinite period of time.
Please note that the publication of data by EuNC may be an indication of the religious beliefs of a person. Please note that information, images and audio/video recordings published on the internet can be accessed worldwide. Information published on the internet can be downloaded and processed by anyone worldwide. Once information is published on the Internet, it can hardly be removed.
Be aware, that countries outside of the EU are not legally bound to the GDPR regulations and may not be understood as safe third country in the sense of GDPR. This means that data could be processed or requested from organizations hosting that data by authorities of countries outside of the EU for various purposes without any rights for you to have legal action against it. It can therefore not be ruled out that these authorities process, evaluate and permanently store your data for monitoring purposes. We have no influence on these processing activities.
The legal basis for this publication is § 6 no. 1 a) GDPR and § 49 no. 1 a) GDPR. After you leave your position, the data will be restricted and stored for archival purposes only.

It is possible at any time to obtain information from the controller about the personal data stored about you and - with effect for the future and provided that the requirements are met - to request that it be corrected, deleted or restricted. A deletion of the data can be requested on the basis of § 17 no. 1 a) GDPR. You can also withdraw your consent for publication with effect for the future.
